Terms and conditions

Here you’ll be able to find out about the terms and conditions of our service. Please read these carefully before you place an order with us. By placing an order you will agree to be bound to the terms and conditions detailed below.

1. Purpose

1.1 Deli(very), the University of Leeds Delivered Catering Service, provides catering to the University and external stakeholders.

1.2 Deli(very) offers a wide selection of catering options, including buffets, sharing platters and canapés. It also provides a range of refreshments, including hot and cold drinks, pastries, cakes, and savoury light bites.

1.3 Please be aware that external caterers cannot be used in the following areas of campus; Parkinson Court, University House, Refectory, Halls of Residence, or Michael Marks Room.

1.4 Please use Deli(very) if you wish to have catering in these locations.

2. Placing an order

2.1 When you request an order with Deli(very), via email or by phone, we will confirm approval of the order via email.

2.2 Your order is not guaranteed until the confirmation email has been sent by our team.

2.3 Please ensure that the contact information you provide when placing an order is correct, as this is how we will contact you regarding your order and its delivery to your chosen location.

2.4 All orders must be requested a minimum of two full working days before they are required. Orders after this cannot be guaranteed and may be subject to more limited catering options.

3. Minimum order requirements

3.1 There is a minimum order value of £10 per order, plus a delivery charge (see below).

3.2 All on-campus orders required for delivery over the lunchtime period (11:45am-1:30pm) must be for a minimum of 10 guests.

3.3 We are unable to accept orders for delivery to off-campus locations over the lunchtime period (11:45am-1:30pm).

3.4 Orders for off-campus delivery are welcome but can only be delivered outside of this window and must be for a minimum of 10 guests.

4. Making amendments to your order

4.1 If you wish to make any amendments to your order we must be notified via email at least two full working days prior to your delivery. Late requests are subject to availability and service capacity. Please quote your reference number during communications and you will be sent a revised booking confirmation.

4.2 We ask customers to confirm final details before 12 pm on the Wednesday of the week before your event is due to take place. We understand that things can change and will try to accommodate any changes where possible. Reductions in final numbers may incur a charge (see section 11 cancellation policy below).

5. Delivery charge

5.1 A delivery charge of £5 applies to all campus deliveries. This charge is for a delivery-only service.

5.2 A delivery charge of £12.50 applies to all off-campus deliveries. This charge is for a delivery-only service.

5.3 An additional 10% cost of the full booking value will be added to an order to facilitate set up of the order at your chosen location, as specified on the booking.

5.5 Details of whether bookings require setup or service can be discussed with our team at the enquiry stage.

5.6 External bookings are subject to VAT

6. Weekend orders

6.1 We can accommodate deliveries required on Saturdays or Sundays, subject to availability.

6.2 We can fulfil orders for a minimum of 50 guests on a Saturday, between 8am-1pm.

6.3 Order requests for a Sunday will be fulfilled by a nominated third-party caterer unless agreed otherwise.

6.4 Weekend bookings are subject to availability, capacity, and final approval.

7. Order feedback

7.1 Feedback regarding any aspect of the service should be made in the first instance to delivery@leeds.ac.uk.

8. Your food and drink

8.1 All dishes are subject to availability.

8.2 Our food is freshly prepared and held under controlled conditions prior to delivery.

8.3 We recommend that all food supplied should be consumed within three hours of delivery. The University cannot accept liability in respect to illness caused to anyone arising through failure to discard food after the allotted time.

8.4 We produce our food in kitchens where allergens are handled by our team, and where equipment and utensils are used for multiple menu items, including those containing allergens. While we try to keep things separate, we cannot guarantee any item is allergen-free, even after ingredients have been removed on request. The products that have nut or peanut ingredients on our menu would be clearly stated at the delivery stage. However, we cannot guarantee that our food is completely nut or peanut-free.

8.5 If for any reason we are unable to deliver a particular element of what was originally booked, we will consult with you to discuss and agree alternative provision.

8.6 Please notify us by email or include it in your order if any of your delegates have an allergy or dietary requirements.

9. Milk orders

9.1 Milk orders of six 4-pint bottles or more are available through Deli(very) and are subject to the delivery charge of £5. For smaller requirements, bottles of milk can instead be purchased from Great Food at Leeds-operated retail outlets on campus.

10. Delivery

10.1 Your order may be delivered up to 45 minutes prior to the required booking time. If you haven’t received your delivery within 5 minutes of the scheduled time please contact us.

10.2 Please ensure that the room/venue is accessible for the delivery staff.

10.3 Please ensure that a suitable space for your order has been arranged in the room/venue, we are unable to provide tables for catering as part of any orders.

10.4 If the room is locked, or catering is to be delivered outside a room, please ensure that a table or trolley is available for the delivery to be placed upon.

10.5 We cannot always deliver to rooms that are not accessible by lift or ramp.

10.6 When requested, service staff will set up the delivery where possible.

10.7 Please email delivery@leeds.ac.uk if you have any queries about your delivery.

10.8 Once an order has been completed and delivered all items of the order are the responsibility of the client with regards to loss or damage of the equipment unused items, until collection by the delivery team.

11. Cancellation

11.1 Cancellations must be confirmed by email and charges are as follows:

  • Less than one full working day’s notice – full order charge
  • Less than two full working days’ notice – 100% of the food element charge and 50% of the beverage.
  • Between day three and day six before delivery is due, bookings can be cancelled with a 50% charge.
  • Seven days and further from the delivery date, bookings can be cancelled free of charge.

12. Price and payment

12.1 All prices quoted exclude VAT. External bookings will be subject to VAT being added.

12.2 Customers requesting crockery will be charged £1 per item.

12.3 If service staff are required there will be a charge per hour, per staff member of £20. Late evening and weekend bookings requiring staffing may incur higher charges, to be discussed on an ad hoc basis at the time of booking.

12.4 All Great Food at Leeds equipment is the responsibility of the person who made the booking. On the day of delivery, unless otherwise agreed, collection of any equipment must be available and in an accessible area.

12.5 If a collection cannot be made due to access, a £10 charge will be applied to the order invoice.

12.6 Off-campus deliveries of tea and coffee will be charged an additional collection fee of £1 per head for the cost of equipment collection.

13. Campus ringfencing

13.1 Any deliveries outside the campus boundaries of the below roads/streets, would be considered as off-campus.

  • Woodhouse lane
  • Clarendon Road
  • Moorland Road
  • Portland Street (Leeds General Infirmary is classified as Campus)
  • Inner Ring Road
  • Blenheim Terrace

(Deliveries to venues on these streets would be considered as on campus).

14. Equipment loss

14.1 If equipment is lost or damaged a replacement charge will be incurred as follows:

  • Coffee, tea or water flask – £14.95
  • Milk flask – £10.95
  • Cup – £2.50
  • Saucer – £2
  • Glass platters – from £5 to £8 each
  • Glass jug – £3
  • Glass – £1.25
